Reservation policy & terms of trade

Terms of Trade 

These terms of trade apply to all dealings between Poronui and its customers, with the exception of trophy hunting bookings. A customer enters into a contract and is bound by these terms of trade on placing a reservation or “booking” with Poronui. Trophy hunting booking terms of trade can be found here.

Reservation Confirmation 

INDIVIDUAL RESERVATION CONFIRMATION

To confirm a booking, a deposit of 25% of the accommodation and guide fee is required to be paid by the customer. Payment of the deposit is confirmation of acceptance of these terms and conditions by the customer. Poronui is under no obligation to place or maintain that booking until the deposit has been paid.

The balance of the accommodation and guide fees is required to be paid to Poronui at least 60 days prior to the scheduled date for arrival at Poronui.

Any extras e.g. licences, helicopter charges, access fees etc. are payable by the customer prior to departure from Poronui.

GROUP RESERVATION CONFIRMATION

To confirm a reservation for a group (defined as bookings of 4 or more rooms and/or guides), a non-refundable deposit of 25% of the total accommodation and guide fees is required to be paid to Poronui. Payment of the deposit is confirmation of acceptance of these terms and conditions by the Agent. Poronui is under no obligation to place or maintain that booking until the deposit has been paid.

The balance of the accommodation and guide fees must be paid to Principal at least 60 days prior to the date that the group is scheduled to arrive at Poronui.

Any extras (e.g., licences, helicopter charges, access fees etc.) are payable by the customer prior to departure from Poronui.  The group cancellation and postponement policy applies.

Cancellation Policy – Individual Reservations

If a booking is cancelled at the customer’s request or by reason of the default or other conduct of the customer, a $100 cancellation fee will apply, and:

  • If a booking is cancelled within 90 days prior to the date that the customer is scheduled to arrive at Poronui the customer will forfeit the deposit
  • If a booking is cancelled within 60 days prior to the date that the customer is scheduled to arrive at Poronui the customer will forfeit 100% of the accommodation fee
  • If a booking is cancelled within 30 days prior to the date that the customer is scheduled to arrive at Poronui the customer will forfeit 100% of the accommodation fee and 100% of the guiding fee

Postponement Policy – Individual Reservations 

If a booking is postponed at the customer’s request the following applies:

  • If a booking is postponed between 30 and 60 days prior to the date that the customer is scheduled to arrive at Poronui, Poronui will roll the booking over to the new date (subject to availability)
    • The new dates must be within 12 months of the postponed dates
    • A booking may only be postponed once
    • The customer will be charged the relevant rate for the new dates
  • If a booking is postponed within 30 days prior to the date that the customer is scheduled to arrive at Poronui the customer will forfeit 100% of the accommodation fee and 100% of the guiding fee

Cancellation or Postponement of Group Reservations 

If a group booking is cancelled or postponed at the customer’s request or by reason of the default or other conduct of the customer, the following applies:

  • If a confirmed group booking is cancelled or postponed at any time, the customer will forfeit the 25% non-refundable deposit.
  • If a confirmed group booking is cancelled or postponed within 90 days prior to the date that the group is scheduled to arrive at Poronui the customer will forfeit 100% of the accommodation fee
  • If a confirmed group booking is cancelled or postponed within 60 days prior to the date that the group is scheduled to arrive at Poronui the customer will forfeit 100% of the accommodation fee and 100% of the guiding fee

Cancellation by Poronui 

The nature of the business of Poronui means that occasionally a booking can not be honoured. If a booking is cancelled by Poronui (through no fault of the customer), then Poronui will use its best efforts to advise the customer in advance and will refund any deposit and other monies paid to Poronui by the customer. Poronui is only liable to refund the deposit and other monies paid to it by the customer and accepts no liability nor is it responsible for paying for any other costs, expenses or losses suffered or incurred by the customer or any other person by reason of Poronui cancelling the booking and whether such costs, expenses or losses are directly or indirectly related to such cancellation. By way of example but not limitation, customer costs for airfares, insurance, or other accommodation will not be met by Poronui.

COVID-19 

New Zealand Government regulations are subject to change and Poronui’s policies may be updated to cover any changes to Government requirements and recommendations.

Guests are recommended to seek advice from their travel and insurance agents on the best cover for their protection pre-, during- and post-travel. Guests are responsible for their own accommodation and travel arrangements in the event they are unable to travel home after their booked stay at Poronui.

Travel and Insurance

  • We strongly recommend full travel insurance, including trip cancellation and interruption, baggage protection, medical expenses, accidental death and dismemberment, emergency evacuation and repatriation, and emergency assistance service. There are a number of reputable vacation insurance companies.
  • It is solely the responsibility of the guest to ensure they have the appropriate visas to enter New Zealand. For more information, please visit www.immigration.govt.nz

Payment 

Prices are inclusive of a 15% Goods and Services Tax

Poronui accepts – Cash and Credit Cards (Visa, MasterCard or AMEX). Payment can also be made by direct transfer.
Note there is a 2.3% fee for payment by credit card.  Credit card fees are non-refundable in the event of a cancellation, for any reason.
We do not accept international currency, checks/cheques, Diners Club or Discover credit cards.

In the event of an outstanding account, the customer shall pay interest on outstanding balances at 2% per month from the due date of payment to the date on which the amount is paid.

The customer shall pay or reimburse all costs/and or expenses incurred by Poronui in instructing our Collection Agencies to recover any amount overdue for payment.
